JOB SUMMARY

Responsible for supervising Events Management personnel and the implementation and delivery of efficient services to clients holding events in PICC.

 

DUTIES AND RESPONSIBILITIES

  1. Assists the Director, MEMD in the overall planning, supervision, coordination, and implementation of events management operations and related programs of the Division.
  2. Meets and coordinates with clients before, during, and after events to ensure effective delivery of services and client satisfaction.
  3. Oversees and monitors all assigned accounts, functions, events, and special projects to ensure efficient execution and compliance with client requirements and organizational standards.
  4. Assigns events, functions, special projects, and client accounts to Events Management personnel and ensures proper coordination and timely delivery of services.
  5. Monitors all actual event proceedings and ensures smooth operations, immediate resolution of concerns, and adherence to approved event plans and schedules.
  6. Presides over technical coordination meetings and ensures proper dissemination and implementation of agreed operational plans and requirements.
  7. Coordinates closely with Reservations, Sales and Marketing Team, and other concerned departments/divisions to ensure proper handling of events from initial coordination up to completion of event delivery.
  8. Ensures fulfillment of commitments and contractual obligations to clients by Events Management personnel and other concerned units.
  9. Ensures compliance by clients with all provisions, terms, conditions, and financial obligations stipulated in contracts and event agreements.
  10. Coordinates with internal departments and divisions regarding venue requirements, technical support, facilities, safety measures, and other services necessary for the successful conduct of events.
  11. Assists and coordinates with the Assistant Director for Marketing in the implementation of marketing activities, promotional campaigns, and work programs related to events and client engagement.
  12. Implements and supervises PICCI-initiated and/or organized special events, programs, and institutional activities.
  13. Ensures the preparation and submission of terminal reports, post-event evaluations, accomplishment reports, and other documentary requirements related to concluded events.
  14. Prepares and recommends to the Director, MEMD the annual budget requirements, operational plans, and resource allocations necessary for the effective delivery of services by the Division.
  15. Supervises, directs, guides, trains, and motivates Events Management personnel and evaluates their work performance to ensure operational efficiency and professional development.
  16. Ensures proper coordination, teamwork, and harmonious working relationships within the Division and with other departments/divisions/offices of PICCI.
  17. Reviews and approves transactions, requests, disbursements, and other administrative matters within the established limits of authority.
  18. Ensures proper upkeep, maintenance, and accountability of office equipment, facilities, records, and other resources assigned to the Division.
  19. Coordinates with concerned departments and divisions regarding the maintenance, utilization, preservation, and operational readiness of the PICCI’s facilities and venues.
  20. Ensures compliance by all supervised personnel with PICCI policies, rules, regulations, office procedures, and standards of conduct.
  21. Performs other related duties and functions that may be assigned by the Director, MEMD and other executives.

 

SKILLS/QUALIFICATIONS GUIDE

Education

  • Bachelor’s Degree in Mass Communication and/or Business Administration and/or Hotel Management and/or Tourism or other related fields relevant to the job

Experience

  • Six (6) years of relevant experience from a M.I.C.E industry, event management company, hotel, tourism-oriented organizations or other institutions engaged in organizing events, four (4) years of which involves managing/supervising personnel

Relevant trainings in the following areas:

  • Meetings, Incentives, Conferences, Exhibitions (MICE) Operations
  • Events and hospitality management
  • Project management and operations management
  • Customer relations and client services
  • Public relations and corporate communications
  • Service excellent and quality management
