JOB SUMMARY:
The Executive Assistant provides high-level strategic and administrative support to the General Manager. This role functions as a critical partner in managing executive operations, ensuring seamless communication between the executive office and internal or external stakeholders, and facilitating the execution of strategic initiatives.
DUTIES AND RESPONSIBILITIES:
- Executive and Administrative Support
- Screen, prioritize, and respond to incoming communications (emails, calls, documents), ensuring prompt and appropriate follow-up.
- Prepare and edit reports, presentations, memos, talking points, and official correspondence on behalf of the executive.
- Strategic and Operational Coordination
- Monitor and track project deliverables, key action items, and deadlines across departments, ensuring alignment with executive priorities such as but not limited to procurement and budget.
- Assist in the planning, preparation, and documentation of board, committee, and high-level internal meetings.
- Conduct background research, compile briefing materials, and synthesize data to inform decision-making.
- Stakeholder and Communication Liaison
- Serve as a liaison between the executive and internal teams, external partners, and other stakeholders.
- Represent the executive office in a professional manner and maintain consistent, accurate communication.
- Prepare agendas, record meeting minutes, and ensure timely follow-up on action items.
- Confidentiality and Professional Conduct
- Manage confidential and sensitive information with absolute discretion and integrity.
- Exercise sound judgment in prioritizing tasks and handling internal and external requests on behalf of the executive.
