JOB SUMMARY

The Junior Executive Assistant is responsible for assisting the Deputy General Manager in the performance of his functions and responsibilities.

DUTIES AND RESPONSIBILITIES

1. Reviews all incoming communications for priority / appropriate action by the Deputy General Manager.
2. Drafts / prepares letters, reports, and memoranda for Deputy General Manager’s signature.
3. Assists the Deputy General Manager in the management/monitoring of special projects. Coordinates and makes follow-ups with key personnel on projects.
4. Prepares a briefer/update on the reports and proposals submitted for the decision of the Deputy General Manager (DGM).
5. Assists and coordinates with the staff of the General Manager in the preparation of the PICCI Board, Executive Committee, and Management Committee Agenda as directed by the DGM and consolidates all relevant documents/memoranda for the meetings.
6. Sorts out action points from the Board, Executive Committee and Management Committee discussions and minutes for the Deputy General Manager’s appropriate action.
7. Coordinates with Security and Technical Services Department and concerned Disaster Control Committee in formulating and implementing safety rules and regulations and in conducting fire drills.
8. Supervises the secretarial/clerical staff, provides overall administrative support.
9. Drafts yearly budget of the ODGM.
10. Responsible for the management of properties and equipment of the ODGM.

SKILLS/QUALIFICATIONS GUIDE

 Education:

• Relevant Bachelor’s degree

Experience:

• Three (3) years of relevant experience
